Booking Terms & Conditions

By booking or participating in a trip with Arabian Wanderers, you agree to these Terms & Conditions.

 

By booking a trip you acknowledge that you have read, understand and agree to be bound by these Terms. If you make a booking on behalf of other participants, you guarantee that you have the authority to accept and do accept these Terms on behalf of the other participants in your party.

1. Payment

Payment in full is due at the time of booking.

2. Cancellation


Cancellation terms are outlined in your booking confirmation.


If cancelled by us: you can get a full refund or use full credit for another trip unless the trip is cancelled due to a Force Majeure event.


Minimum Group Size Requirement:

Some of our trips require a minimum number of participants to operate. The minimum group size varies depending on the specific experience. We reserve the right to cancel a trip if the minimum number of participants is not met.

 

In such cases, you will be offered the option to:

  • receive a full refund, or
  • transfer your booking to another available date or trip.


We will make every effort to inform you of such cancellations as early as possible and no later than 48 hours before the trip’s scheduled start.


Responsibility for External Bookings:

We are not responsible for any third-party expenses you incur in relation to your trip, including but not limited to transportation (e.g., flights, buses, taxis), accommodation, visas, vaccinations, or insurance. If you choose to make such arrangements independently, you do so at your own risk. We strongly recommend booking flexible or refundable options.


Cancellation due to Force Majeure:

  • If a trip is cancelled due to a Force Majeure Event, we can offer you a choice of:

(a) a 100% credit of monies paid for your trip; or

(b) a refund minus unrecoverable costs.

  • If the cancellation due to a Force Majeure Event occurs after a trip has commenced, we can offer you a choice of a pro-rata:

(a) 100% credit for the days that remain on your trip; or

(b) refund minus unrecoverable costs of the days that remain on your trip.


Any credit resulting from a cancellation:

  • does not have an expiry date and may be applied towards any other available trip offered by us;
  • is not redeemable for cash;
  • excludes flights or insurance as they will have their own booking conditions.


A “Force Majeure Event” includes but is not limited to: acts of God; war; civil commotion; riot; blockade or embargo; fire; explosion; breakdown; union dispute; earthquake; epidemic, pandemic or other health emergency; flood; windstorm or other extreme weather event; lack or failure of courses of supply; passage of any law, order, proclamation, regulation, ordinance, demand, requisition or requirement or any other act of any government authority, beyond the reasonable control of the parties, whether or not foreseeable, which would make it dangerous or not viable for a trip to commence or continue.


In the event of any cancellation, there will be no claim for damages by either party against the other and we are not responsible for any incidental expenses that you may have incurred as a result of your booking including but not limited to visas, vaccinations, travel insurance excess or non-refundable flights.


Cancellation due to the weather:

Our events may be affected by weather conditions (e.g., clouds, rain). Event cancellation will only occur in the case of severe weather (heavy rain or very strong winds), not due to clouds or light rain.

3. Amendments

No amendments are permitted to your booking 7 days or less from departure.

4. Passport and visas


It is your responsibility to obtain information and to have in your possession all the required documentation and identification required for entry, departure and travel to each country or region you visit on your trip. This includes a valid passport and all travel documents required by us and/or the relevant governmental authorities including all visas, permits and certificates (including but not limited to vaccination or medical certificates) and insurance policies. Your passport must be valid 6 months after the last date of travel with is as set out on your itinerary. You accept full responsibility for obtaining all such documents, visas and permits prior to the start of the trips, and you are solely responsible for the full amount of costs incurred as a result of missing or defective documentation. You agree that you are responsible for the full amount of any loss or expense incurred by us that is a direct result of your failure to secure or be in possession of proper travel documentation.

5. Travel insurance


Travel insurance is mandatory for all our travellers and must be taken out at the time of booking. Your travel insurance must provide cover against personal accident, death, medical expenses and emergency repatriation with a recommended minimum coverage of US$200,000 for each of the categories of cover. We also strongly recommend it covers cancellation, curtailment, personal liability and loss of luggage and personal effects. You must provide your travel insurance policy number and the insurance company’s 24-hour emergency contact number on the first day of your trip; you will not be able to join the trip without these details. If you have travel insurance connected to your credit card or bank account please ensure you have details of the participating insurer, the insurance policy number and emergency contact number with you rather than the bank’s name and credit card details.

6. Health & Fitness Requirements


By booking, you confirm that you are physically capable of participating in the activities included in your trip. You must inform us of any medical conditions, disabilities, or special requirements prior to booking. We reserve the right to decline participation if we reasonably believe your health, safety, or enjoyment (or that of other participants) may be at risk. You are responsible for ensuring that you are in suitable physical condition to undertake the trip.

7. Acceptance of risk


In joining one of our trips (that may include adventurous activities such as hiking, camping, swimming & kayaking among others) you confirm that you voluntarily, freely, and expressly chose to incur all risks associated with the activities on your own responsibility. We are not liable for any risks in the outdoors including exhaustion, bodily and personal injury or even death.

8. Limitation of Liability


To the fullest extent permitted by law, Arabian Wanderers shall not be liable for any loss, injury, or damage to you or your property, except where directly caused by our proven negligence. In no event shall Arabian Wanderers be liable for indirect, incidental, special, or consequential damages. Our total liability, whether in contract, tort, or otherwise, shall not exceed the amount you have paid for the trip.

9. Damage to Property & Equipment


You are responsible for any loss of or damage to property, equipment, or materials provided by Arabian Wanderers during the trip, including but not limited to camping gear, vehicles, tents, sleeping equipment, cooking equipment, and any other items supplied for your use.

If any such property is lost, damaged, or destroyed due to your actions, negligence, misuse, or failure to follow instructions, you agree to compensate Arabian Wanderers for the full cost of repair or replacement, including any associated cleaning, transport, or administrative costs.

Normal wear and tear excepted, Arabian Wanderers reserves the right to charge you for any damage identified during or after the trip. Payment may be required immediately or deducted from any security deposit (if applicable).

This responsibility applies whether the damage is caused directly by you or by any minor or guest under your supervision

10. Indemnification


You agree to indemnify and hold harmless Arabian Wanderers, its employees, guides, and affiliates from any claims, damages, costs, or expenses (including legal fees) arising from your acts, omissions, or conduct during the trip, or from any breach of these Terms.

11. Customer Conduct & Safety


You must comply with all safety instructions, local laws, and cultural customs during the trip. We reserve the right to remove any participant from a trip without refund if their behavior is unsafe, disruptive, unlawful, or negatively impacts the experience of other participants.

12. Itinerary & Service Changes


Our itineraries are subject to change due to weather, safety, operational requirements, or other factors beyond our control. We reserve the right to substitute accommodations, activities, transportation, or guides without refund, provided the trip is delivered to substantially the same standard.

13. Age Restrictions & Minors


Age categories are defined in accordance with the ticket type purchased on our website. Each ticket must be booked under the correct category. Participants under the age of 18 must be accompanied by a parent or legal guardian unless otherwise stated for a specific trip. The parent or guardian is responsible for the minor’s supervision at all times during the trip and must sign any required waiver on the minor’s behalf. We reserve the right to refuse participation if the ticket category booked does not match the participant’s actual age at the time of the trip.

14. Photography & Media Release


By participating in our trips, you grant Arabian Wanderers the right to capture and use photographs, video, and other media of you for promotional and marketing purposes, without compensation. If you do not wish to be photographed or recorded, please notify us in writing before the trip.

15. Complaints


If you have a complaint about your trip, you must inform your guide or trip leader at the earliest opportunity so that corrective action can be taken. If the matter cannot be resolved on the spot, you must submit a written complaint to us within 14 days of the trip’s conclusion.

16. Governing Law & Jurisdiction


These Terms & Conditions are governed by the laws of the United Arab Emirates. Any disputes arising out of or in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of the United Arab Emirates.
